Why connected data matters
Follow one device through the platform.
A procurement manager at Brightline Health, a fictional company, orders cellular tablets for a field team. Here is what Claddio keeps connected along the way.
- 01
Quoted
A rep builds a cart for the buyer's existing contact record with tablets, a management license, and setup, then sends the checkout link.
Cart · Sent to 2 contacts
- 02
Ordered
The buyer checks out on invoice terms, and the cart becomes a sales order with the customer's PO number attached.
SO-25103 · PO BLH-20714
- 03
Received
Stock for the order arrives on a purchase order, and each tablet's IMEI passes TAC verification against its SKU before it becomes an asset.
PO-2026-018 · TAC verified
- 04
Fulfilled
Each tablet's IMEI is recorded against the order line it fulfills, and the carton ships on a UPS label tracked on the order.
FUL-25103-1 · IMEI 354256104172630
- 05
Paired
A SIM is associated with each tablet after its ICCID passes carrier-specific format checks.
ICCID 8901260417350928417
- 06
Enrolled
The tablet enrolls in Android Enterprise and receives its policy profile and managed Google Play apps.
Profile · Field Tablets
- 07
Recovered
When it comes back on a return label the customer created, inspection records data-wipe verification and the asset's history stays intact.
RMA-3381 · Data wipe complete
One serial number, one record, every stage.
- 01
Fewer handoffs
Procurement, operations, partners, and support work from the same order and asset records instead of passing exports between systems.
- 02
One record of truth
The serial number ties together the order, the SIM, the management profile, and the return, so there are no conflicting lists to reconcile.
- 03
Faster answers
Which order did this device ship on? Which SIM is in it? Is it compliant? Each question is one lookup on the same record.
Customers and Contacts
One record for every customer, and every person in it.
Each customer organization keeps its status, account type, segment, parent organization, and owner on one record, with tabs for people, commerce, activations, operations, devices, and configuration.
- Duplicates caught on entry. New companies are checked against existing records by DUNS, Tax ID, name similarity, billing address, website domain, and phone. Possible duplicates wait in a review queue, and merges are audited.
- One person, many organizations. A contact can belong to several organizations and sign in with more than one verified login email. Each email belongs to one person, so new contacts are matched by email instead of created twice.
- Contact history. Every contact keeps a log of emails, calls, meetings, and messages, with next steps, groups, an activity timeline, assigned assets, and order totals.
- Access by domain. Let new users from approved email domains join through Google or email sign-in. Invite other contacts to the portal, or add them without an invitation.
Account team
Internal and partner members on each account, alongside the record owner.
Organization hierarchy
Link subsidiaries to a parent organization, and keep carrier activations and Billing Account Numbers on the account.
Customer configuration
Tax exemption certificates, cost centers, payment terms, store credit, shipping addresses with delivery instructions, and the customer's own carrier accounts.
Carts and Checkout
Carts that carry products, subscriptions, and services.
Build one cart with devices in the right condition, the subscriptions that cover them, and the services that set them up. Then send it, follow it, and turn it into an order.
- Every line type. One-time products with condition and attributes, subscriptions with plan, billing term, trial, and setup fee, and services from the work-order service catalog, optionally linked to a work order.
- Adjust Price, on the record. Discount or mark up a line from its catalog price, set how long the price is valid, and add a security deposit where needed. Each adjustment records the original and new price, who made it, and when.
- Sent and followed. Send the cart to several contacts, each with their own revocable checkout link, or download a proposal PDF. Claddio records when it was first and last viewed, and how often.
- Locked when it counts. Lock a cart against customer edits; it locks automatically during checkout. Carts expire after 30 days unless you set another date.
- Ownership carries through. Every cart has an owner and a partner organization, and both carry to the order.
At checkout
The buyer completes the cart in the portal, and the order keeps everything the cart carried.
Pay now or on invoice
Buyers choose Pay Now by card or wallet, or Send Me an Invoice to pay by ACH or wire on terms.
PO numbers and approvals
Add a PO number and cost center, apply promotions and store credit, and route orders over a role's spending limit for approval.
The business buyer's viewShipping set on the cart
Free Ground, Free 2-Day, or Free Overnight set by the rep, split shipments, and shipping billed to the buyer's own carrier account.
Shipping and carriers
Orders and Fulfillment
Orders that know exactly what shipped.
Serialized fulfillment links each physical unit to the order line it fulfilled, so order history doubles as an asset record.
- Fulfillment units. Orders break into fulfillment units that record serialized devices as they are picked and shipped.
- From the right location. Each fulfillment allocates inventory, including assets and SIM cards, from a chosen warehouse or kitting center.
- Sourced from demand. Order lines that stock cannot cover feed purchase orders, so sourcing starts from what customers ordered.
Shipping and Carriers
Live carrier rates, labels, and tracking on every fulfillment.
Claddio connects directly to FedEx and UPS. USPS setup is pending. Quote the package, buy the label, and follow it from the fulfillment that shipped it.
- Live rates, then the label. Compare live FedEx and UPS rates, then create the label as a PDF or PNG, or ZPL for UPS. Print, download, or void it from the shipment.
- Validated addresses. The Ship To address is validated before a label is created.
- Tracking on the order. FedEx and UPS shipments update automatically from Label Created to Delivered, including exceptions.
- Your carrier account or ours. Ship on Claddio's account, or bill the label to a customer's or partner's own UPS or FedEx account.
- Split, pickup, and replacements. Split an order across shipments, switch a fulfillment to customer pickup, or send a replacement shipment while the original record stays intact. Work orders create shipments the same way.
- FedEx
- UPS
Returns and RMA
Returns customers start, and operations close out.
Customers request a return from the order and create their own carrier return label once it is approved. Every package, inspection, and resolution stays on the return.
- Request a Return. Customers choose Refund, Warranty, or Repair and the items they are sending back, with a reason for each.
- Self-service return labels. Once the return is approved, the customer creates a carrier label with tracking, barcode, and QR code. Operations can create labels too, and label requests wait in the Carrier Label Review queue.
- One package per carton. Each carton is its own return package with its own label and tracking number.
- Inspected on receipt. Receive Return Item records the inspection result, condition, data wipe and lock checks, and the next step.
- Resolved on the record. Refund to the original payment method or account credit, or send a replacement, exchange, or repair, with a restocking fee per item where it applies. Units headed back to the vendor ship on live carrier rates.
Procurement and Receiving
Every device verified before it becomes an asset.
Claddio's operations team sources devices from vendors on purchase orders tied to customer demand, receives each unit against its PO with the SKU checked from the IMEI, then pays the vendor from the same purchase order. Businesses and partners get accurate SKUs and asset records from day one.
Procurement Management
Purchase orders that start from customer demand.
When open sales orders need more stock than is on hand, the shortfall becomes the starting point for purchasing.
- Demand-driven POs. Procurement shows how many items need purchasing to fulfill customer orders and which orders they affect, then builds purchase orders from that demand.
- Split by vendor. Needs are grouped and split across vendors, with a vendor suggested from purchase history. Manual purchase orders cover everything else.
- A clear PO lifecycle. Each PO-YYYY-NNN moves through Draft, Sent to Vendor, Confirmed, Partially Received, Received, Closed Short, or Canceled.
- Secure vendor links. Vendors acknowledge a purchase order and create pre-authorized shipping labels through a secure link, with no vendor login.
Receiving with TAC verification
The IMEI confirms the SKU.
As each IMEI is entered, Claddio checks its TAC, the first eight digits that identify the device model, against an extensive, managed TAC database with reviewed model mappings.
- Wrong SKUs caught at receiving. Claddio automatically detects a unit whose IMEI belongs to a different catalog item, proposes the matched SKU, and corrects it with a single confirmation.
- Both IMEIs agree. IMEI 1 and IMEI 2 must identify the same model.
- Verified before completion. Every cellular IMEI must pass TAC verification before receiving completes, and the server enforces it.
- Partial receipts. Receive what arrived and close any remaining quantity with a reason code.
- The same check everywhere. TAC verification also runs on asset CSV imports and buybacks.
Vendor payments
Pay vendors directly from the purchase order.
Once a purchase order is confirmed or received, the vendor is paid from the purchase order itself, and the payment reconciles against it automatically.
- A payment method on every PO. Pay by Bank sends payment from Claddio to the vendor's saved bank account. Purchase orders paid at checkout, charged by the vendor, or paid outside Claddio are recorded the same way.
- Secure bank setup. Vendors add bank details through a secure, expiring link, entered with the payment provider and never stored by Claddio, or authorized staff enter them. A vendor can keep several accounts with one default.
- Reviewed before it is sent. Each payment shows the vendor amount, estimated fees, and total, funded from the payments balance or a linked bank account. Bank funding can take a few business days.
- Reconciled on the PO. Payment status moves through Unpaid, Processing, Partially Paid, Paid, or Action Required, and vendor credits come off the amount due.
Vendors, balances, and returns
Vendor Management
Business details, vendor code, payment terms, contacts, tags, and active or inactive status for every vendor.
Vendor balances
A balance ledger for each vendor, with vendor payments and return-to-vendor credits recorded against it.
Return to Vendor
Units go back to the vendor through an approval step, and the credit is recorded on the vendor's balance.
Serialized Assets
Every unit, accounted for.
Assets carry serial number, IMEI, ownership, assignment, and status history from fulfillment through retirement. The SKU is the product; the serialized asset is the physical unit.
Status history
See every status change an asset has had, from fulfilled to assigned to returned.
Assignment and ownership
Assign assets to an organization and to individual users, and reassign them when roles change.
Lost and stolen
Flag an asset lost or stolen without losing its history. Lost mode runs through your managed device service.
Retirement
Mark assets retired or recycled while keeping the full history of every order, SIM, and return.
Inventory across locations
Stock lives in warehouses and kitting centers, and every unit keeps its asset record as it moves between them.
Stock Levels
Aggregate stock levels across every warehouse, with the quantity available at each location.
Stock Transfers
Move inventory and SIM cards between locations, with requested, shipped, and received quantities on each transfer.
Kitting Centers
Receive stock into kitting centers and run staging and kitting work orders, so devices are prepared before they ship.
Connectivity
Devices and SIMs, tracked together.
Connectivity in Claddio is part of the lifecycle: knowing which SIM is in which device, and which devices fit a customer's network before they are sold.
- Device and SIM association. Assign, unassign, and reassign SIMs to devices, with each change recorded on the asset.
- Identifier checks. IMEI validation and TAC make-and-model identification at intake, ICCID format checks using carrier-specific prefix and length rules, and EID capture.
- Compatibility filtering. Catalogs show devices compatible with a customer's network, based on the platform's compatibility data.
- Activation coordination. Workflows and carrier-specific details keep partners and carrier teams aligned on each activation through their carrier relationships.
Workflow Automation In development
Automate handoffs without writing code.
In development: an automations canvas that will turn routine follow-ups into flows that run on a schedule, branch on conditions, and pause for approval. It isn't available yet.
- Scheduled triggers. Start a flow at a set local time on chosen days, such as a weekly check every Monday at 07:00.
- Conditions. Branch on Yes and No, so only the records that still need attention move forward.
- Approval steps. Route a decision to the right person before the flow continues.
- Email templates. Send consistent reminders and notifications at each step from shared templates.
- Sub-flows. Reuse common steps across flows instead of rebuilding them.
Shown here: a planned open cart follow-up. A weekly schedule checks each cart; if it is still open, the flow requests approval and then sends the customer a reminder. If not, it ends.
Roles and Permissions
The right access for every organization and role.
Claddio is multi-tenant: each business, partner, and carrier team works in its own organization with role-based permissions.
Organizations
Businesses, channel partners, and carrier teams each work in their own organization on shared infrastructure.
Role-based permissions
Grant access by role so people see and change only what their job requires.
Partner role templates
Start from Owner, Admin, Sales Manager, Sales Rep, Operations, Finance, and Viewer roles.
Account scope
A role template decides whether a partner user sees every partner account or only the accounts assigned to them.
Permission-scoped data
Carrier reps see device and SIM details only on the orders their permissions allow.
Secure sign-in
Sign in with Google, an email link, or a passkey, with authenticator-app two-factor authentication.
Reporting and Visibility
Answers from the same data that runs the work.
Dashboards draw from live orders, finance, device posture, and activations, so reports reflect what actually happened.
- Order reporting. Track orders, approvals, fulfillment, and shipping across customers.
- Finance reporting. Review margin and profitability by product and customer, alongside commission activity.
- Device posture. See device posture, compliance history, and remote command results from Device Management reports.

FAQ
Questions about the platform.
No. Customers and contacts, carts and checkout, procurement and receiving, fulfillment, shipping and returns, assets, device management, and lifecycle operations run on one platform and share one data model.
Each login email belongs to one person across the platform, and a contact can hold several verified login emails with one marked primary. When a contact is added, Claddio matches on email, so a person who works with several organizations is linked to each one instead of being created again. New companies are checked against existing records by DUNS, Tax ID, name similarity, billing address, website domain, and phone, and possible duplicates wait in a review queue before any merge, which is audited.
One-time products in a specific condition and configuration, subscription products with their plan, billing term, trial, and setup fee, and services from the work-order service catalog. Any line can carry a price adjustment with an expiry date and an optional security deposit, and the cart can carry a free-shipping tier. Send it to one or more contacts as a checkout link or download it as a proposal PDF. At checkout it becomes an order, with the cart's owner and partner organization carried over.
During fulfillment, each serialized device is recorded against the order line it fulfills. That link carries through device management, returns, and reporting.
FedEx and UPS, through direct carrier integrations. Operations teams compare live rates, validate addresses, and create, print, or void labels from the fulfillment, with automatic tracking updates. Shipments can be billed to Claddio's account or a customer's or partner's own carrier account. USPS integration is in development while account setup is completed.
From the order in the customer portal. The customer requests a return as a refund, warranty, or repair, with a reason for the items being sent back. Once it is approved, the customer creates the carrier return label themselves. Operations receives and inspects each item, then resolves the return with a refund to the original payment method, account credit, replacement, exchange, or repair.
As each IMEI is entered against a purchase order, Claddio checks its TAC against an extensive, managed TAC database with reviewed model mappings. If the IMEI belongs to a different catalog item, receiving flags it and proposes the matched SKU, and the operator corrects it with one confirmation. IMEI 1 and IMEI 2 must identify the same model, and receiving cannot complete until every cellular IMEI passes. The same check runs on asset CSV imports and buybacks.
Yes. Claddio's operations team pays vendors directly from the purchase order once it is Confirmed, Partially Received, Received, or Closed Short. With Pay by Bank, the payment goes to the vendor's saved bank account after a review of the vendor amount, estimated fees, and total, and it reconciles against the purchase order automatically. Vendors add bank details through a secure, expiring link, entered with the payment provider and never stored by Claddio. Purchase orders paid at checkout, charged by the vendor, or paid outside Claddio are recorded on the same purchase order.
Claddio keeps track of which SIM is in which device, checks ICCID formats at intake, filters catalogs to devices compatible with a customer's network, and coordinates activations with partners and carrier teams through workflows.
Yes. Claddio is multi-tenant, with role-based permissions inside each organization and partner role templates that control which accounts each person can see.
Not yet. The automations canvas is in development. When it's released, workflows will be built visually from scheduled triggers, conditions, approval steps, sub-flows, and email templates, with no code required.
Dashboards and reports cover orders, finance and margin, commission activity, device posture and compliance, and activations.
